Our client, a prestigious law firm in Luxembourg is looking for a lawyer assistant speaking German, English and French fluently. This is a permanent position starting ASAP. The candidate manages the time schedules of a Partner / experienced Lawyers. He monitors calendars to ensure that deadlines are met; He assists and coordinates of all administrative tasks related to one portfolio. He maintains and monitors the entire life cycle of a client file from opening until closing. He supports the person in charge of the file to coordinate the value chain; He ensures that the allocated portfolio is in compliance with the firm's rules and standards, such as the KYC process for example; He records the files parameters and data correctly enabling invoices to be issued timely, if necessary taking action to ensure that deadlines are met; He updates CRM database precisely on a regular basis; He prepares/ finalizes and formats legal documents upon given instruction. Filing of documents in compliance with the applicable conventions in the dedicated software; He schedules meetings, sets up conference calls across multiple times zones, organizes internal and external events/ meetings, venue organization and preparation of required documents. Takes meeting notes if applicable; He books business travel arrangements. You have a Bachelor Degree in Office Manager or Business Administration; You have a service-oriented mind-set with the necessary eye for detail and problem solving skills; You have excellent time management skills, ability to multi-task and prioritize work; You have ideally at least 2 years of proven professional experience as an administrative assistant in an international and fast paced environment; You are fluent in both written and spoken German (native speaker level) and English...
