- Coordinate and manage the executive’s calendar
- Schedule internal and external meetings, calls, and appointments
- Resolve scheduling conflicts efficiently
- Handle incoming and outgoing emails and calls
- Draft, proofread, and format correspondence and reports
- Communicate on behalf of the executive professionally
- Book flights, hotels, ground transportation
- Prepare detailed travel itineraries
- Handle travel issues or last-minute changes
- Prepare agendas and briefing materials
- Take detailed meeting minutes
- Track action items and follow up on deliverables
- File and organize documents (physical and digital)
- Process expense reports and invoices
- Order office supplies and manage vendors
- Support to fill in institutional paperworks (ODL, etc.)
- Support in daily internal operations
- Assist with research and compiling reports
- Help manage special projects or events
- Track project timelines and deliverables
- Liaise with internal teams, clients, and external stakeholders
- Help build strong working relationships on behalf of the executive
- Bachelor’s degree required
- 5+ years in a similar executive support role
- Exceptional organization & time management
- Strong written and verbal communication
- Proficiency in MS Office/Google Workspace
- Calendar and travel management tools (e.g., Outlook, Google Calendar, Concur)
- Ability to multitask and prioritize under pressure
- Attention to detail
- Motivated to work with executives
- Driving license
- Fluent in English and French and/or German and/or Luxembourgish
- Already a European citizen or has a valid work permit for Luxembourg
