PERSONAL ASSISTANT - OFFICE MANAGER (M/F)THE JOB
-Support the Executive Chairman/CEO and Executive Committee Members directly as the go-to person for all needs, including daily administration, calendar management, travel schedules, project coordination, delivering presentations, answering calls
-Make administrative decisions and acts in the Executive Chairman/CEO and Executive Committee Members' absence;
-Manage a high-volume travel schedule;
-Conserve Executive Chairman/CEO and Executive Committee Members' time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analysing information; and initiating telecommunications;
-Coordinate projects by capturing timelines and strategies and delivering progress updates;
-Keep, prepare, and distribute minutes of meetings;
-Prepare meeting rooms for appointments, coordinates schedules, and greet customers and clients prior to meetings;
-Provides administrative support to the team;
-Carries out all the essential tasks related to those that must be achieved by an office manager and receptionist.THE CANDIDATE PROFILE
-Excellent written and verbal communication skills in French, Italian and English (any other language is a plus),
-Ability to adapt - flexibility;
-Organizational skills and detail-oriented;
-Good knowledge of IT tools (MS Office);
-Ability to interact with high profile people and executives;
-Excellent analytical skills;
-Between 5 to 10 years of professional experience in similar position.THE CLIENT:
Our client is a family-owned business located in Luxembourg city.At the final stages of the recruitment process, some of our clients could ask the successful candidate to provide supporting documentation such as, for example, copies of diplomas or proof of previous jobs, and a standard criminal record check might also be requested.
