- Managing incoming calls and messages Managing calendars and electronic diaries Organising meetings, calls, seminars, and events Booking and coordinating international travel Supporting client file management and follow-up Preparing documents for internal and external meetings
- Processing expense reports and mission orders You will also support the Litigation Legal Team with: Assisting lawyers with file management (e.g., matter openings) Preparing litigation files and court bundles Liaising with notaries, lawyers, and authorities
- Document tracking, including signatures and legalizationsProfile & Qualifications :- Proven experience as a Personal Assistant, Paralegal, Legal Secretary, or Administrative Assistant in a law firm, notary office, fiduciary, or other professional services firm
- Degree in administration, secretarial work, legal studies, or related field
- Fluent in English and French (written and spoken); German or Luxembourgish is considered an asset
- Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel, Visio)
- Familiarity with preparing RCS filings and proxy documentation is a plus
- Strong multitasking, organisational, and prioritisation skills
- High attention to detail, accuracy, and discretion
- Proactive mindset with the ability to take initiative
