- Assistance to the General Counsel (follow up on department progress and objective achievement, assistance to meetings preparation, assist with cases and projects planning, help to prepare key presentations)
- Secretarial and administrative work for the Legal Department (correspondence, filing, meeting arrangements, travel arrangements)
- Administrative litigations follow up (budget, status of the case, invoices, follow up with lawyer, circularization with auditors)
- Organizing and archiving the documents related to completed and ongoing cases
- Update and maintain contract templates, Data Room for key legal documentation, maintain Contract Data Base, legal doc. securing,
- Drafts and analyses of simple legal documents (NDA, dismissal letters, answer to day to day simple legal questions, etc. …)
- Ad hoc legal queries from the legal team to conduct legal research (case law, bibliography, academic materials), or retrieve internal information needed for legal cases management
- Help in development of Legal Training materials (mainly for internal functions), arrange for training sessions
- Structure and preserve internal legal knowledge built over cases
- Monitoring and update on jurisprudence developments
- Trademark portfolio management
- Stations admin. (Network/Set-up or closing/Legal rep-lawyers, PoA, mandates, Legalizations, Apostilles)
- Follow up/signature of legal documents
- Bachelor's degree in the legal field
- Previous experience either in a law firm or the legal department of a company
- Basic legal knowledge in civil law, commercial law, corporate law and social law
- Proven experience as an administrative assistant;
- Ability to work with a high degree of autonomy;
- Excellent attention to detail, time management skills, and ability to prioritize work;
- Ability to successfully communicate with all levels of management, stakeholders, vendors and customers
- Ability to prioritize multiple tasks with competing deadlines
- Highly developed written and oral communication skills, with emphasis on negotiating and drafting commercial agreements and attention to detail
- Fluency in written and spoken English, other languages are considered a plus
- Advanced knowledge of MS Office (Word, Excel, PowerPoint and Outlook)
- A Certificate of good conduct (Casier judiciaire, Polizeiliches Führungszeugnis) will be required in case of positive selection
- Full-time, permanent position based in Luxembourg
- Occasional Travel required
- The internal title and contract for this role will be 'Officer Legal Affairs.'
